Privacy Policy

What we collect, how we use it, and the rights you have over your information.

Notice: This is a general privacy document provided as a starting point. It should be reviewed by a licensed attorney before you rely on it for legal protection.

1. What We Collect

  • Account information: name, email address, password (stored hashed), and role.
  • Demographic information: voluntary "About You" details such as age range, gender identity, ethnicity, and location.
  • Profile data: health, legal, financial, and spiritual profile information you enter voluntarily.
  • Insurance information: carrier, plan type, and coverage notes you provide.
  • Survey responses: answers you submit to In Their Eyes, Rooted In Reality, Insurance Insights, and similar surveys.
  • Concierge and match request details: the specialty needed, location, availability, and notes you share when requesting a match.
  • Usage data: pages visited, features used, timestamps, IP address, browser, and device information collected through standard server logs.

2. How We Use Your Information

  • Operate the directory, concierge matching, and community features.
  • Generate aggregate and anonymized insights (In Their Eyes, Rooted In Reality, Insurance Insights). Cohorts smaller than 5 people are suppressed to protect individual privacy.
  • Improve the platform, fix bugs, and develop new features.
  • Send account, transactional, and service communications.
  • Comply with legal obligations and enforce our Terms.

3. Who Can See Your Information

  • Professionals only see the information you explicitly share when you request a match with them.
  • MelaninWell staff and admins can access data as needed for moderation, verification, and support.
  • We do not sell your personal information to third parties.

4. Third-Party Processors

We rely on Supabase for database, authentication, and file storage hosting. Supabase processes your data on our behalf and is contractually required to protect it. We may add or change processors from time to time and will update this policy accordingly.

5. Data Retention

We retain your data for as long as your account is active. If you request deletion of your account, we will delete your personal data within a reasonable period, except where we are required to retain certain records for legal, tax, or dispute-resolution purposes. Aggregate and anonymized data used for insights may be retained after account deletion because it cannot be linked back to you.

6. Your Rights

You may:

  • Access the personal data we hold about you.
  • Correct information that is inaccurate or out of date.
  • Request deletion of your account and personal data.
  • Export a copy of your data in a common format.

To exercise any of these rights, email support@melaninwellness.org with the subject "Privacy Request." We will respond within a reasonable time.

7. Cookies and Analytics

We use basic session cookies to keep you signed in and to remember your preferences. We do not use third-party advertising trackers on MelaninWell. Any analytics we use are limited to understanding aggregate usage of the platform so we can improve it.

8. Children's Privacy

MelaninWell is not intended for use by anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact us and we will delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the revised version here with an updated effective date. If the changes are material, we will provide additional notice.
